PROGRAM DESCRIPTION

The Vaccine Clinical Materials Program (VCMP) is responsible for the overall direction of the operations/manufacturing of the vaccine and biotherapeutic development facility for the development of experimental therapeutics for pre-clinical and Phase I and II clinical trials targeting a range of infectious diseases.

KEY ROLES/RESPONSIBILITIES

Administrative Secretary

Reporting to the Administrative Supervisor, this position will:

  • Track IWO subcontract invoices for cost reporting

  • Manage and track open purchase order report to ensure timely invoicing

  • Create, submit and track travel packages and expense reimbursements

  • Participate in scheduling and facilitating onsite interviews

  • Participate in VCMP New Hire Orientation

  • Set up new hire work spaces, to include coordinating with facility maintenance as well as IT to ensure phones, desks and computers are prepared for new hires

  • Work with administrative and operations director to manage and track seating and space planning changes

  • Manage space planning, including working with company facilities group to ensure labs and offices are charged accurately, informing them of changes in square footage and uses

  • Act as point of contact for HR/Corporate training for all VCMP staff

  • Track and order office supplies

  • Schedule meetings and manage conference room schedules

  • Support security by logging in visitors

  • Interface with VCMP IT group to ensure software/hardware issues are reported and completed for office equipment

  • Act as point of contact for building 7114 staff

  • Create and maintain databases as needed

  • Create and submit reports to upper management

  • Provide clerical support to management as required

  • Communicates with executive, administrative and line management to gather and convey information

  • Prepares and edits material for final review

  • Participates in planning functions

Qualifications:

BASIC QUALIFICATIONS

To be considered for this position, you must minimally meet the knowledge, skills, and abilities listed below:

  • High School Diploma or equivalent

  • Three (3) years responsible administrative/secretarial experience, including one (1) year of experience at the secretary II level

  • Proficient in MS Excel, PowerPoint, Word and Access

  • Ability to gather and summarize data, prepare reports and arrange meetings

  • Ability to manage multiple schedules

  • Ability to effectively organize work priorities and complete assigned duties with moderate supervision

  • Ability to use tact and exercise confidentiality, discretion and independent judgment

  • Must be able to obtain and maintain a security clearance

PREFERRED QUALIFICATIONS

Candidates with these desired skills will be given preferential consideration:

  • Experience using MS Visio

  • Experience with SharePoint
